Reminders from your own calendar

Use the calendar you already have. The agent reads upcoming events and texts a reminder a day and a few hours before, in the pack's own wording.

How it finds who to text

Put the customer's details in the event notes:

Name: Ann Lee
Phone: 646-555-0101
SMS OK: yes

The agent only texts people whose notes say SMS OK: yes (or true). SMS OK: no, or nothing, means no text. Bookings made by the agent or your app can write these notes for you.

Connect the calendar

  • Simplest: copy the calendar's private iCal address into CALENDAR_ICS_URL and use "mode": "ics" (read-only, no sign-in). Works with Google and Outlook.
  • OAuth: your own Google or Microsoft app and a refresh token; repeating events are expanded and, for Google, the agent can add events if you allow it.

The reminder workflows

{"name": "appointment_reminder_24h", "on": {"calendar": {"starts_in_minutes": 1440, "window_minutes": 30, "title_contains": "Appointment"}},
 "do": [{"action": "sms", "to": "{{customer.phone}}", "text": "{{business}}: {{slot:appointment_reminder}} {{start_local}}."}]}

Each event is reminded once per workflow, even if the agent restarts. Texts include the opt-out footer the first time, STOP opts the number out everywhere, and quiet hours (9 PM to 8 AM by default) block texts and calls.

Honest limits

  • US texting needs your Twilio number registered with carriers.
  • In ICS mode repeating events are not expanded.
  • Reminder wording comes from the pack's lines in your language; hours and addresses come from your settings.
